REAL PRESENCE® PRIVACY NOTICE

Depending on how you engage with Real Presence, we may collect information such as:
your name;
email address and other contact information you choose to provide;
responses you provide through the Real Presence® 8Cs™ Self Presence Assessment and other Real Presence assessments;
assessment scores, profiles and related results;
information you provide when registering for or participating in programmes, events, conversations or community activities;
enquiries, feedback or correspondence you send to us; and
technical or website information collected through cookies, analytics or similar technologies, where applicable.
We aim to collect only information that is reasonably necessary for the purposes described to you.

When you complete the Real Presence® 8Cs™ Self Presence Assessment, your responses are processed to generate your personal Presence Profile.
Your profile may explore different dimensions of Presence and patterns of Fragmentation. These measures are intended for reflection, learning and development.
Where the assessment states that your name and email address are optional, you may receive your on-screen assessment result without providing them.
Providing optional information—or choosing not to provide it—should not diminish your opportunity to engage meaningfully with your own reflection.

Real Presence seeks not only to support individual reflection, but also to deepen our collective understanding of Presence, fragmentation, wholeness and human connection.
If you choose to contribute your assessment responses to our research and learning, we may use those responses to:
understand patterns of Presence and Fragmentation across individuals and groups;
explore how Presence may relate to human connection, relationships, leadership, teams and organisations;
develop and refine the Real Presence framework and assessments;
improve our programmes, practices and learning experiences;
generate aggregated insights for education and community learning; and
support future research, presentations, publications and thought leadership related to Real Presence.
Where reasonably practicable, research data will be de-identified or aggregated before analysis and reporting.
We will not intentionally identify you in published research findings, reports or presentations without obtaining appropriate permission.

Where applicable and permitted, Real Presence may collect, use or disclose personal information for purposes including:
generating and delivering your Real Presence assessment results;
administering programmes, workshops, events and other experiences in which you participate;
responding to your questions, requests or feedback;
maintaining appropriate administrative and participation records;
improving our assessments, programmes and services;
carrying out research and learning where applicable;
protecting the security and integrity of our systems and information;
meeting applicable legal and regulatory requirements; and
communicating with you about Real Presence where you have chosen to receive such communications.
We seek to be clear about why information is being collected and how we intend to use it.

If you choose to receive these communications, you may change your mind at any time.
You can unsubscribe through the link provided in our email communications or contact us using the details below.
Choosing not to receive communications will not affect your ability to complete the Real Presence assessment or receive your assessment result.

Real Presence currently uses Google Workspace services, including Google Sheets, to store and manage certain assessment, research and administrative information.
We take reasonable steps to restrict access to authorised persons who require access for the relevant purposes and to protect personal information against unauthorised access, collection, use, disclosure, copying, modification, disposal or similar risks.
Where external service providers process or store personal information on our behalf, we seek to use appropriate safeguards consistent with applicable data protection requirements.

Where practicable, Real Presence seeks to separate information that directly identifies you—such as your name and email address—from information used for research and analysis.
Research datasets may instead use a participant or research identifier.
This helps us learn from the collective experience of our community while reducing unnecessary use of identifiable personal information.
We are interested in the human patterns the data can illuminate—not in reducing a person to their data.

We will retain personal information only for as long as it is reasonably necessary to fulfil the purposes for which it was collected, or as required or permitted by applicable law.
When personal information is no longer required for those purposes, we will take reasonable steps to cease retaining it or remove the means by which it can be associated with particular individuals, as appropriate.

Subject to applicable law, you may contact Real Presence to:
ask how your personal data has been used or disclosed;
request access to personal data held about you;
request correction of inaccurate or incomplete personal data;
withdraw consent that you have previously provided; or
ask questions about our personal data practices.
Withdrawal of consent will apply to future collection, use or disclosure as appropriate. There may be circumstances in which Real Presence is permitted or required to retain certain information despite a withdrawal request.

We take reasonable administrative, technical and organisational measures to protect personal information in our possession or under our control.
These may include appropriate access controls, account security, limiting access to authorised persons and reviewing how personal information is collected, stored and used.
No method of electronic transmission or storage is completely risk-free. We therefore continually seek to handle information in a manner proportionate to its nature and sensitivity.

Where a Real Presence programme, assessment or activity is specifically designed for children or young persons, we may implement additional consent, notification and safeguarding arrangements appropriate to the circumstances and applicable requirements.
Our general online Self Presence Assessment should not be used to collect personal data from children where the necessary consent or other appropriate arrangements have not been established.

As Real Presence grows, our programmes, research and ways of engaging with the community may evolve.
We may therefore update this Privacy Notice from time to time.
The current version will be made available on our website, together with its effective date. Where a material change affects how we use personal information, we will take appropriate steps to provide notice and obtain consent where required.
